Printable Calendar Layouts: Month vs Year, A4 vs Letter
ยท 4 min read
The right printable calendar depends on what you'll do with it. If you write appointments in it, print one month per page in landscape. If you want an overview for the wall, print the whole year on one page. Then match the week start and paper size to where you live, and print at 100 % so the margins come out right.
The printable calendar generator builds the PDF in your browser. Here's how to choose each setting.
Monthly pages or a whole year on one page?
The Month dropdown offers each month plus Whole year. Choosing Whole year shows a Year layout dropdown with two options:
| Layout | Best for | What you get |
|---|---|---|
| A single month | A desk planner, a fridge calendar for this month | One page, large day boxes, optional notes lines |
| One month per page (12 pages) | A binder or a homemade wall calendar | Twelve pages identical to the single-month layout |
| All 12 months on one page | Holiday planning, school terms, project timelines | A compact year at a glance with an optional custom title |
Rule of thumb: if you need to write in it, go monthly, because a one-page year leaves room for little more than a highlighter mark. If you need to see the year, go single page.
The single-page year arranges months in 4 columns by 3 rows in landscape, or 3 columns by 4 rows in portrait. It's also the only layout with a Title (optional) field, so you can print "Smith Family 2027" or "Q1โQ4 Release Plan" instead of just the year.
Should the week start on Monday or Sunday?
Use what the people reading it are used to. In the US, Canada and Japan, calendars usually start on Sunday. In most of Europe, and in the ISO 8601 standard, the week starts on Monday. Week starts on defaults to Monday, so US readers should switch it.
The choice changes more than the column order. It can change how many rows a month needs:
- February 2027 starts on a Monday and has 28 days. With a Monday start, it fits in exactly 4 rows with no blank cells. With a Sunday start, it needs 5 rows, because the 1st sits in the second column and the 28th spills onto a new row.
- August 2026 starts on a Saturday and needs 6 rows with a Sunday start, so each day box is shorter that month.
Fewer rows means taller day boxes.
Do you need ISO week numbers?
Tick Week numbers (ISO) if you work somewhere that says "let's ship in week 14," which is common in European businesses, schools and logistics. A small number appears beside each row. ISO weeks run Monday to Sunday. With a Sunday start each row is labelled by its Monday, so the number matches the week most of that row belongs to; with a Monday start the rows and ISO weeks line up exactly.
A4 or US Letter, portrait or landscape?
Pick the Paper your printer is loaded with: A4 (210 ร 297 mm) for most of the world, US Letter (8.5 ร 11 in) for the US and Canada. A mismatch makes the printer scale or crop the page.
Orientation defaults to Landscape, which suits a monthly grid: seven columns need width far more than height, so landscape gives each day box more room to write across. Choose portrait for a calendar on a narrow wall or a clipboard, or for a single-page year you want to read top to bottom in four rows of three months.
Notes lines, colour and language
- Notes lines (monthly pages) is on by default and adds a "Notes" area with four ruled lines under the grid. Turn it off if you want the tallest possible day boxes. It has no effect on the one-page year.
- Accent colour tints the month name and the Saturday and Sunday dates, which makes weekends easy to spot.
- Language sets the month and weekday names, from English (US and UK) to German, French, Spanish, Italian, Portuguese, Dutch and the Nordic languages. The PDF uses a standard font every printer understands, and that font covers Latin letters only. If you see a message about characters the PDF font can't show, choose another language or remove special symbols from your title.
How do you make and print it?
- Enter the Year and choose a Month or Whole year (then the Year layout).
- Set Week starts on, Language, Paper and Orientation.
- Pick an Accent colour and tick Week numbers (ISO) or Notes lines as needed. The preview shows the month grid with your week start and colour.
- Click Download PDF. The file is named like
calendar-2027.pdforcalendar-2027-02.pdf. - In your print dialog, choose Actual size or 100 % rather than "Fit to page," so the half-inch margins stay as designed.
To check a specific date before marking it, use the day of the week calculator.
FAQ
Can I print a calendar for a past or far-future year?
Yes. Any year from 1900 to 2200 works, and the grid follows the Gregorian calendar with correct leap years, so February 2028 gets its 29th.
Why is the "Notes" heading in English when I chose another language?
The language setting applies to month and weekday names. The small "Notes" label stays in English, so cover it with your own heading if that matters for your print.
Will public holidays be marked?
No. Holidays vary by country and region, so the calendar highlights weekends only. Write holidays in the day boxes or the notes lines after printing.
